    Section 1: Understanding the Self-Service Portal and Core Tabs

    The ReadyWorks Self-Service Portal provides users with access to specific functionalities based on their roles and permissions. It consists of:

    • Core Tabs (Standard Tabs): Built-in tabs designed for common functionalities such as Computers, Scheduling, and Applications.
    • Custom Tabs: Additional tabs that can be configured to meet specific requirements.

    Key Points:

    • Core tabs are part of the default user interface and may appear even if the related assets do not exist in the system.
    • These tabs are primarily used for managing IT assets and are essential for asset refresh processes.

    Section 2: Configuring Action Buttons in the Self-Service Portal

    Action buttons enhance interactivity within the portal. They can be added:

    • To Reports: Allowing users to perform actions directly from a report.
    • Directly to the Portal: For functionalities not tied to a report, such as launching surveys or customizing branding. Contact ReadyWorks support for assistance on Action Buttons.

     


    Section 3: Adding Custom Tabs and Managing User Access

    Custom tabs allow you to extend the portal’s functionality to suit different user groups.

    Steps to Add a Custom Tab:

    1. Go to the ‘Add Tabs’ Section in Portal Configuration.
    2. Provide a ‘Tab Name’ for the New Tab.
    3. Define a ‘URL Flag’:
      • This flag controls which users can see the tab.
    4. Set ‘Enabled’ to ‘Yes’ to Activate the Tab.
    5. Configure ‘Display Conditions’ (Optional):
      • Set conditions based on user attributes like location or customer association.
    6. Associate a Report or Content with the Tab.
    7. Save the Tab Configuration.

    Managing User Access with URL Flags:

    • URL Flags are parameters added to the portal URL.
    • They determine which custom tabs are visible to a user.
    • Distribution of URLs with Flags:
      • Typically managed through TCOMM when sending portal links to users.

     


    Section 4: Utilizing Display Conditions and URL Flags

    Display conditions and URL flags work together to control tab visibility.

    Setting Up Display Conditions:

    1. Within the Custom Tab Settings, Define Conditions:
      • Use attributes like user role, location, or customer ID.
    2. Combine with URL Flags for Granular Control.

    Example:

    • Display Condition: User Location = 'New York'
    • URL Flag: &techAccess
    • Result: Only technicians in New York with the techAccess flag in their URL will see the tab.

    Section 5: Managing Standard Tabs and Asset Dependencies

    Standard tabs depend on specific assets existing within ReadyWorks.

    Key Points:

    • Assets like ‘Computer’ or ‘Application’ Must Exist for related tabs to function.
    • Enabling Standard Tabs:
      • Create the necessary assets in the system.
      • Associate assets with users as required.
      • Enable the tabs in the Standard Tabs settings.

    Note:

    • Even if the assets do not exist, standard tabs may still appear due to their inclusion in the default UI.
    • They will not function properly without the associated assets.

    Use Case 1: Collecting User Feedback

    • Scenario: A company wants to gather feedback from users through the portal.
    • Solution:
      • Add an action button on the Welcome tab to launch a feedback survey.
      • Users can submit their responses directly through the portal.
